Your Sales Rep Awaits Leads. Your Pipeline Awaits Your Sales Rep.

Many B2B companies, particularly in renewables and IT, face a common bottleneck: sales teams are ready to sell, but a lack of clear lead ownership and legal channels leaves pipelines empty.

In RES and IT B2B companies, 11 to 50 people are employed. The same pattern repeats regardless of industry, marketing budget size, or employee tenure.

An employed Account Executive (AE) or Key Account Manager (KAM) costs an employer over PLN 8,000 net per month. After a few months, however, management observes an empty CRM and a salesperson who remains ready to sell... without the possibility of real action.

A net salary of PLN 8,000 corresponds to approximately PLN 11,251 gross on an employment contract. With full charges, this results in a total employment cost of PLN 135,000 – 150,000 annually. The total cost of re-recruitment, onboarding, and lost productivity during the transition period often exceeds this annual cost, leading to a constant expense without revenue generation.

The Mechanism of Bottleneck Formation

The problem does not lie in employee motivation. It lies in the absence of a single, precisely assigned management decision on who owns the first customer contact and under what principles they should initiate it.

Until this decision is made:

  • Marketing reports the number of forms and reach (optimizes campaigns for clicks and e-book downloads).

  • Sales expects contacts with decision-makers who have budgets and connection conditions.

Both sides are right according to their own KPIs, and the company experiences paralysis. The salesperson receives the general instruction “customer acquisition” in their contract but receives no written processes regarding data sources, allowed tools, or restrictions resulting from the Electronic Communications Law (ECL).

In long sales cycles typical for RES and IT B2B, an illusion of activity emerges. Leads from call centers without connection conditions create an impression of progress in reports, but the pipeline contains neither a single factory director nor a CFO with a real possibility of purchase.

  • For RES: A lead without connection conditions, without analysis of energy consumption and financing model, is not an opportunity – it’s the cost of delegation and auditing without the prospect of a contract.

  • For IT B2B: A helpdesk specialist interested in a tool is not a decision-maker. The decision involves the IT director, CFO, and operational director. Without them, the conversation will not proceed to the valuation stage.

Key Points of Responsibility Loss

1. Lack of a common lead definition.

For marketing, success is a click on a form. For a salesperson – a client ready to sign a contract. The result is a situation where the salesperson looks at the list and decides these are not real opportunities, while marketing considers its job done. This discrepancy blocks pipeline flow and maintains decision paralysis.

2. Lack of distinction between SDR and AE roles.

In mature B2B organizations, an SDR is responsible for initiating contacts and qualification, while an AE conducts conversations and closes transactions. In many Polish companies, one person is expected to do everything.

When an AE spends 40% of their time on cold prospecting and 60% on closing, in a month with several active opportunities, prospecting drops to zero. The effect? The pipeline dries up three months later. Salespeople naturally gravitate towards the easiest part: serving existing customers or waiting for warm referrals, because no one measures prospecting KPIs separately.

3. Disorganized CRM configuration.

Funnel stages in Pipedrive or HubSpot remain dead, and fields do not enforce the registration of lead source or qualification stage. Management cannot monitor actual activity and accepts comments about a “dead funnel.” The CRM becomes a technical alibi for a pipeline that is, in reality, stagnant.

4. Cooperation with a call center without consent control.

Risks include UOKiK (Office of Competition and Consumer Protection) proceedings (as in the case of Asmanta Call Center, where penalties reached 10% of turnover and individual sanctions up to PLN 2 million for management board members). Calling without prior consent, obtaining numbers from databases without the direct consent of owners, and misleading are mechanisms that UOKiK relentlessly pursues. For the management of a company employing 20-50 people, this is an existential scenario, not an abstract risk.

Financial Costs and Legal Risks

In addition to the annual employment cost (PLN 135,000 – 150,000), there is the value of lost contracts, which in RES can amount to several hundred thousand zlotys for an installation for a plant, and in IT B2B ranging from tens to hundreds of thousands for services. Each successive month of stagnation widens the gap between employment cost and revenue.

What does the law say? The Electronic Communications Law (ECL) imposes an obligation of explicit consent from the recipient for commercial communication via electronic means (B2C and B2B). Article 398 of the ECL requires consent to be voluntary, specific, and informed.

The “one channel – one consent” principle means that consent collected via a newsletter form does not authorize a cold call. An exception for general company addresses (e.g., info@company.com) allows contact, but if the message contains a classic offer, the entrepreneur should have consent or rely on the legal basis of legitimate interest after a balancing test (which limits the message to informational content, not aggressive sales).

Solution Through Responsibility Assignment

  • Implementation of SDR and AE roles: Differentiating roles allows for assigning a specific person to initiate the first contact and monitoring their KPIs. This eliminates situations where no one feels responsible for the beginning of the funnel.

  • Building legal opt-in via LinkedIn and the Octopus system: Ensures compliance with ECL and enables contact with factory directors and CFOs without the risk of UOKiK penalties. It unblocks the pipeline while maintaining full compliance.

  • CRM configuration audit: Enforcing the registration of lead source and qualification stage allows management to track actual activity instead of accepting vague excuses. A transparent data structure removes technical alibis for stagnation.

The decision to limit cold calls requires the simultaneous implementation of a legal alternative channel (LinkedIn + Octopus) – without it, the salesperson is left with an empty pipeline and the message: “don't call, we have no alternative.”

Discussion

If the answer to the question of who in your company is formally responsible for initiating the first contact with a new customer requires a moment's thought – or if the first thought is “well, it depends” – you are facing exactly the bottleneck described in this article.

Comment: Who in your company is formally responsible for initiating the first contact with a new customer? Does this person have assigned tools, separate KPIs, and a legal channel to reach them?

Frequently asked questions

The central issue is the absence of a clear management decision on who owns the initial customer contact and the principles for initiating it. This leads to a bottleneck where sales reps are ready to sell but lack qualified leads, resulting in significant financial losses.
